Data retention policy

This policy sets out how long Rannah keeps each category of data, when data is deleted automatically, and how deletion requests and subscription termination are handled.

General principle

We keep data for as long as needed to provide the service or to meet legal requirements, whichever is longer, and then delete it or anonymize it so it can no longer be linked to a person.

Retention schedule

The following table summarizes retention periods by data category:

Deletion on request

A business can request the deletion of specific data, such as particular recordings or a specific customer's records, from the account dashboard or by contacting us.

We complete deletion requests within thirty days of receipt at most, unless a legal obligation requires keeping the data longer, in which case we inform the business.

Termination

On termination, the business has a ninety-day window to export its operational data, such as bookings and customer records.

After this window, we delete the business's operational data, keeping only what the law requires us to retain, such as billing and accounting records.

Backups

Copies of deleted data may remain in encrypted backups for a limited period until the normal backup rotation completes, at which point they are permanently removed. Backups are not used to restore data that was deleted on request, except when a full system restore is necessary, in which case the deletion is re-applied after the restore.
